Concept about E-mail
Definition of E-mail:
Electronic mail, or email, is a method of exchanging digital messages between people using digital devices such as computers, mobile phones and other electronics.
Or
E-mail (electronic mail) is the exchange of computer-stored messages by telecommunication.
Or,
E-mail may be defined as “A system for sending messages from one individual to another via telecommunications links between computers or terminals using dedicated software”
Advantages/Importance/Benefits of E-mail:
- It is more personal & direct medium for communication.
- It is faster than paper mail.
- Unlike fax documents, the receiver of an e-mail document can store in a computer, and can edit it easily using editing programs,
- Messages are delivered within seconds around the world.
- It allows to save & keep a record of the communication.
- Easy to send with no time waste.
- Good example of One-To-Many communication
- Sender may attach files, documents, images, & other media to an email.
- User can access his email from anywhere with Internet connection kept
Classification/Types of E-Mail:
Generally speaking, HTML email can be broken down into two categories:
- One-to-many, where a large list of people are sent the same or very similar emails from a source to which they’ve intentionally subscribed (like a newsletter, or an event invitation).
- Transactional, where an email is sent to a person on an individual basis, usually as a result of an action they’ve taken (like making a purchase, or receiving a shipping update).

Ways/Process of Writing an E-mail:
- “To Field” Type a valid email address of person to whom you want to send the email.
- “From Field” should contain sender’s email address.
- “Subject” is the brief summary of your message. Write a short & accurate subject line. Make sure your subject line justify the content in your mail.nl
- Message body is the location to type main message.
- It’s important to begin with a greeting Such as “Dear XYZ”, “Hello Sir/Madam”.
- Introduce yourself in the first line or paragraph if you are sending the mail as an individual.
- Write your message & put your main points in opening sentences. Get to the point and don’t move in circles to explain a single point
- Be brief & polite. If your message is long then provide links or attachments in your message.
- Say “Thank You” & add your signature with appropriate contact information.
- Proofread or preview your message before sending it.
Procedure of Sending E-Mail:
- At first active the internet connection
- Open the internet browser to see internet browsing screen appears.
- Type e-mail website address
- Type user name
- Type password
- Click sign in
- Click compose mail
- Then type receiver email address
- Type subject of e-mail
- Attach file or write something newly
- Click send
Procedure of Receiving E-Mail:
- At first active the internet connection
- Open the internet browser to see internet browsing screen appears.
- Type e-mail website address
- Type user name
- Type password
- Click sign in
- Click on the inbox
- View/download the mail.
Definition of E-mail Address:
An email address identifies an email box to which email messages are delivered.
